Crown Agents USA, Inc. (CA-USA) is seeking a Business Development Coordinator for the Business Development department in our Washington, DC office.

Since its incorporation in the United States in 1998, CA-USA has provided technical assistance services and support to U.S. Government agencies and international organizations such as the U.S. Agency for International Development (USAID), the Millennium Challenge Corporation (MCC), the U.S. Trade and Development Agency (USTDA), and the Gates Foundation.
Role & Responsibilities
The BD Coordinator will report to the Senior BD Coordinator and help coordinate the bid and proposal process, participate in BD strategic planning, assist in developing marketing materials, and participate in public relations/marketing initiatives. The BD Coordinator will be required to solve, in conjunction with the Senior BD Coordinator, issues that may arise relating to the proposal process, but will also possess the judgment to know when to refer to the Line Manager or other senior staff.? Most tasks have their own deadlines, e.g., bid submission, internal reports.? The BD Coordinator must also organize and plan his/her work in order to ensure that all these tasks, which may be required concurrently on a variety of projects, are carried out efficiently within their respective deadlines.? The BD Coordinator will be able to work under pressure, delivering high quality, detailed results in a fast-paced environment.?
Specific Responsibilities
?Bid and Proposal (B&P) Coordination
- In relation to bid coordination, review and summarize RFP/RFA documents released by potential funders, including USAID and MCC.
- Assist in identifying and selecting bid/proposal teams.
- Work with Senior BD Coordinator and other bid/proposal team members to prepare and process teaming agreements, non-disclosure agreements and other proposal related documentation/agreements.
- In coordination with the Senior BD Coordinator and Bid Manager, develop the bid/proposal schedule.
- Call and, as appropriate, chair bid team meetings.
- With guidance and support from the Senior BD Coordinator, draft proposal sections (as required).
- Coordinate between bid team members to ensure all elements of the bid/proposal (technical, pricing, management) are on track.
- Arrange/schedule the final reviews of the proposal (per bid calendar).
- In conjunction with the Senior BD Coordinator, produce all final bids/proposals, including obtaining necessary supplies, formatting final documents (ensuring they are compliant to client needs and corporate standards), and final printing and binding.
- Coordinate the submission of the complete proposal.
- Support the Senior BD Coordinator to ensure that all proposals go through the CA proposal review and approval (OMAP) process.
- In collaboration with the Bid Manager, prepare pre-contract budgets and subsequently monitor the pre-contract budgets.
- Compile past and on-going project experience.
- As required, support the capture management/positioning process, including research country context, organize information on potential subcontractors, partners and resource organization, and research potential competitors.
- Create and organize proposal documentation, including hard copy files.
?Management Reporting
- Maintain the CA-USA weekly pipeline and corporate pipeline reports.
- Coordinate the preparation and updating of the BD monthly rolling forecast report.
- Prepare ad hoc reports as requested by the CEO/President, Director of Business Development, etc.
- Review report from timerecording team and delete codes no longer in use.
?Business Development Support
- Track opportunity websites to identify potential opportunities for CA-USA (Fedbizops, grants.gov, etc.), in addition to maintaining a list of award announcements.
- Participate in BD strategic planning.
- Assist in market research.
- Participate in networking and marketing calls.
- Respond to requests for CA-USA project information.
- As required, identify and obtain outside resources (consultants), including processing payment requests and consultant agreements.
- Support the capture planning process (Focus and Watch countries).
- Miscellaneous administrative tasks, including tracking internal charge codes.
?PR & Marketing
- Assist in the development of marketing materials.
- Support public relations/marketing initiatives, including maintaining relationships with vendors and representing CA-USA at events.
Other
As required, serve as back-up for other BD Team members.?
Qualifications
?BA required in relevant field such as international development, international relations, business and economics; Master?s degree a plus
- Strong interpersonal skills; able to work comfortably with wide range of personalities
- Excellent organizational skills; detail-oriented
- Demonstrated ability to manage several complex activities simultaneously
- Good written and verbal communication skills
- Strong problem-solving and process improvement skills, acting on own initiative or in conjunction with his/her supervisor
- Able to handle change rapidly and effectively
- Strong team-work and customer service mentality
- Minimum 2 years of relevant experience that demonstrates knowledge of the USG bids and proposal process, management of deadlines and work flow
- Experience interacting with senior management strongly preferred
- Experience working on international development projects funded by US donors such as USAID and MCC highly desirable
